We only ask for information that is reasonably necessary for the purpose for which it is being collected.

We may also receive information from service providers involved in providing a service to you, such as booking or payment providers, where this is necessary and lawful.
Some technical information may be collected automatically when you use our website or app.
4. Why we use your information
We may use your personal information to:
- process and administer holiday bookings;
- provide accommodation and services you have requested;
- manage payments, refunds and financial records;
- respond to enquiries;
- provide customer service;
- manage caravan sales and ownership enquiries;
- communicate important information relating to a booking, stay, ownership or service;
- operate and improve the Beachside Guest Guide app;
- provide park information, notices and push notifications;
- send marketing where you have agreed to receive it or where another lawful basis for doing so applies;
- operate our website and online services;
- maintain the security and reliability of our systems;
- prevent or investigate fraud, misuse or security incidents;
- meet our accounting, tax, insurance, health and safety and other legal obligations;
- establish, exercise or defend legal claims;
- improve our services and understand how our business is being used.
5. Our lawful bases for using personal information
UK data protection law requires us to have a lawful basis for using personal information.
Depending on the circumstances, we may rely on:
Contract
Where processing is necessary to enter into or perform a contract with you. This includes administering your holiday booking, providing accommodation or dealing with a purchase.
Legal obligation
Where we need to process information to comply with a legal obligation, including accounting, taxation, regulatory and health and safety requirements.
Legitimate interests
Where processing is necessary for our legitimate business interests or those of another organisation, provided those interests are not overridden by your rights and interests.
Examples include:
- responding to enquiries;
- administering our business;
- maintaining the security of our systems;
- improving our services;
- communicating operational information to customers;
- preventing fraud or misuse;
- keeping appropriate business records.
Consent
Where you have actively agreed to a particular use of your information.
We use consent where required for activities such as certain email marketing and optional promotional push notifications.
Where we rely on consent, you can withdraw it at any time.
6. Beachside Guest Guide mobile app
The Beachside Guest Guide is a mobile app providing guests and other users with useful information about Beachside Holiday Park.
It includes information such as:
- park information;
- weather;
- tide information;
- opening times;
- events;
- latest news;
- important park notices;
- beach and safety information;
- caravan sales information;
- contact information;
- push notifications.
You do not need to create an account or password to use the Guest Guide.
The app does not require you to provide your name, booking reference or accommodation details to access its general information.
7. Email signup within the Guest Guide
The Guest Guide gives you the option to provide your email address if you would like to receive Beachside news, special offers and holiday availability by email.
If you choose to sign up, we may store:
- your email address;
- confirmation that you gave marketing consent;
- the source of the signup;
- the app version used;
- the version of the consent wording;
- information necessary to record when your signup or consent was received or updated.
This information is used to maintain our marketing list and demonstrate your marketing preferences.
Providing your email address is optional.
You can choose Continue without signing up, in which case the app does not submit an email address to our email signup system.
You can withdraw from marketing at any time using the unsubscribe option included in our marketing emails or by contacting us.
8. Push notifications
The Beachside Guest Guide can send push notifications.
These may include:
- park updates;
- emergency and safety information;
- caravan sales;
- offers and promotions.
You must first allow notifications on your device before we can send them to you.
When notification permission is enabled, the app creates and uses technical information required to provide the push notification service.
This may include:
- a randomly generated app installation identifier;
- an Expo push notification token;
- your device platform, such as Android or iOS;
- the version of the Beachside Guest Guide installed;
- whether notifications are enabled;
- the notification categories you have selected;
- dates associated with registration, updates or recent contact with the notification service;
- whether a device registration is active or has been disabled;
- technical notification delivery information, including whether a notification was accepted for delivery or whether an error occurred.
The random installation identifier and push token are used to communicate with the particular installation of the app. Beachside does not use them to identify your name, email address, booking or accommodation.
Notification choices
You can control notifications from the Settings section of the Guest Guide and through your phone's notification settings.
Operational categories, such as park updates and emergency or safety information, may be enabled when you choose to allow the app to send notifications.
Marketing categories, including Caravans for sale and Offers and promotions, are optional and can be enabled or disabled by you.
You can switch off individual notification categories or all notifications at any time.
If your device's push token becomes invalid, the registration may automatically be disabled.
You may also contact Beachside and ask us to remove an app device registration.
Push notifications relating to safety or emergencies are provided as a useful supplementary service. They should not be relied upon as the only source of emergency or safety information.
9. Where app notification information is processed
Beachside uses service providers to operate the Guest Guide notification system.
These currently include:
- Cloudflare, which provides infrastructure used by the app and stores Beachside's push notification registration and preference database;
- Expo, which provides the push notification delivery service;
- Google, including Firebase Cloud Messaging, for notification delivery to supported Android devices;
- Apple, including Apple Push Notification service, for notification delivery to supported Apple devices where applicable.
- These providers process technical information only as necessary to provide their respective services.
We do not sell push notification tokens or use them for third-party advertising.
10. Information stored on your device
The Guest Guide may store some information locally on your device so that the app works correctly and remembers your choices.
This may include:
- app preferences;
- notification preferences;
- the random installation identifier;
- whether particular app messages or prompts have already been shown;
- information needed to remember when a notification reminder has been postponed.
This local information is used to operate the app and improve your experience.
Removing the app will normally remove locally stored app information from that device, although information previously sent to Beachside's systems may remain subject to the retention provisions in this policy.
11. Location information
The Guest Guide displays weather and tide information relevant to Beachside Holiday Park.
The app does not need your precise device location in order to provide this information. Weather and tide information is based on the fixed location of Beachside Holiday Park and relevant nearby forecasting or tidal locations.
We do not use the Guest Guide to continuously track your physical location.
12. Marketing and communications
We may send information about:
- Beachside news;
- holiday availability;
- special offers;
- events;
- caravan ownership and caravan sales;
- other relevant Beachside products and services.
Where consent is required, we will obtain it before sending marketing.
For electronic marketing, we will comply with applicable PECR requirements. Depending on the circumstances in which we obtained your details, we may rely on your consent or another marketing method permitted by law.
Marketing consent is separate from your ability to make a booking or use the Guest Guide.
You can change your mind at any time.
For email marketing, use the unsubscribe option contained in the email or contact us.
For Guest Guide push marketing, change your selections under Settings → Push notifications or disable notifications through your phone.
Withdrawing from marketing will not prevent us from sending genuinely necessary service or administrative communications relating to an existing booking, transaction or other relationship with you.
13. Bookings and payments
Where you make a booking or payment, information may be processed through third-party booking, banking or payment providers.
We may receive information confirming:
- a booking;
- payment;
- refund;
- transaction status.
We do not need to retain your complete payment-card details ourselves where payment is processed securely by a payment service provider.
Payment providers have their own security and privacy responsibilities for information processed through their systems.
14. Cookies and website technologies
Our website may use cookies and similar technologies.
Cookies are small pieces of information stored on or accessed from your device. They may be used to:
- provide essential website functions;
- remember preferences;
- maintain security;
- understand website performance and usage;
- measure the effectiveness of our online services and marketing where permitted.
Where applicable law requires consent before a non-essential cookie or similar technology is used, we will seek that consent.
You can also manage cookies using your browser settings, although blocking some cookies may affect the operation of parts of the website.
15. Sharing personal information
We do not sell or rent your personal information.
We may share information where reasonably necessary with organisations that help us operate our business, including:
- website and IT providers;
- cloud hosting and database providers;
- booking-management providers;
- payment providers and banks;
- email and marketing service providers;
- mobile app and push notification providers;
- professional advisers such as accountants, insurers and legal advisers;
- contractors or suppliers providing services on our behalf;
- government departments, regulators, courts, police or other authorities where required by law.
Where another organisation processes personal information on our behalf, we take appropriate steps to ensure that it is handled securely and only for authorised purposes.
We may also disclose information where this is necessary to protect our legal rights, prevent fraud or respond to a legitimate legal request.
16. Third-party websites and services
Our website and Guest Guide may contain links to websites, social-media platforms, maps, external documents or services operated by other organisations.
For example, links may take you to services operated by organisations such as Google, Facebook, Instagram, TikTok or other businesses.
Once you leave a Beachside-controlled website or app and interact directly with a third-party service, that organisation's own privacy policy and terms will apply.
We are not responsible for the privacy practices of independent third-party websites or services.
17. International transfers
Some of the service providers we use are international organisations or operate infrastructure in more than one country.
As a result, personal information may sometimes be processed outside the United Kingdom.
Where UK data protection law requires additional protection for an international transfer, we take steps designed to ensure an appropriate safeguard is in place. Depending on the destination and provider, this may include:
- UK adequacy regulations;
- approved contractual safeguards;
- the UK International Data Transfer Agreement;
- an approved UK Addendum to standard contractual clauses; or
- another lawful transfer mechanism.
You can contact us if you would like more information about the safeguards used for relevant international transfers.
18. How long we keep information
We do not keep personal information for longer than we reasonably need it.
The appropriate retention period depends on:
- why the information was collected;
- whether you remain a customer;
- legal and accounting requirements;
- whether a transaction or booking is still active;
- whether information may be needed to deal with a complaint or legal claim;
- security and fraud-prevention requirements.
Examples include:
Booking and transaction records
Records needed for accounting, taxation, contractual or legal purposes may normally be retained for up to six years after the relevant transaction or relationship, or longer where the law requires.
Enquiries
General enquiries may be retained for a reasonable period after the enquiry has been dealt with in case further correspondence is required.
Marketing information
Marketing contact information is retained while you remain subscribed.
If you unsubscribe, we may retain a minimal suppression record so that we can remember that you have opted out and avoid adding you back to marketing unintentionally.
Guest Guide push registrations
A push notification registration is retained while it remains active and necessary to provide your selected notification service.
Invalid or expired push tokens may be disabled or removed.
Push delivery records and technical error information are retained only for as long as reasonably necessary to administer, troubleshoot and protect the notification service.
Information stored locally by the app
Locally stored preferences generally remain until they are removed by the app, reset or the application is uninstalled.
When information is no longer required, we will delete, anonymise or securely dispose of it as appropriate.
19. Security
We use reasonable technical and organisational measures designed to protect personal information from:
- unauthorised access;
- loss;
- misuse;
- alteration;
- disclosure;
- destruction.
These measures may include access controls, password protection, restricted staff access, encrypted connections, secure service providers and other appropriate technical safeguards.
No internet-based service or data-storage system can be guaranteed to be completely secure.
If you believe information you have provided to us may have been compromised, please contact us as soon as possible.
20. Your data protection rights
Depending on the circumstances, UK data protection law gives you rights relating to your personal information.
These may include the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to delete personal information in certain circumstances;
- ask us to restrict the way information is used in certain circumstances;
- object to certain processing;
- receive certain information in a portable format where applicable;
- withdraw consent where processing is based on consent;
- object to direct marketing at any time.
Your right to object to direct marketing
You have the right to object to our use of your personal information for direct marketing at any time.
You do not have to give us a reason.
You can unsubscribe from email marketing using the link included in our emails or contact us directly.
You can change Guest Guide push marketing preferences from within the app's Settings page or through your phone's notification settings.
Some rights are subject to exemptions and depend on the lawful basis on which information is being processed.
We may need to verify your identity before responding to a request.
There is normally no charge for exercising your data protection rights.
21. Children
Beachside Holiday Park is a family holiday park, but the Guest Guide and our online data-collection services are not designed for children to independently provide personal information to us.
Children should not submit personal information, sign up for marketing or make purchases or bookings without the involvement of a parent or guardian where appropriate.
If you believe that a child has provided personal information to us inappropriately, please contact us.
22. Complaints
If you are concerned about how we use your personal information, please contact us first so that we have an opportunity to investigate and respond.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's independent data protection regulator.
23. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect:
- changes to our services;
- changes to the Beachside Guest Guide;
- changes to the organisations that process information for us;
